Information we collect
We collect information you provide when placing an order, uploading photographs, contacting us or subscribing to updates. This may include your name, contact details, service dates and the media you upload.
How we use your information
We use your information solely to deliver our services — memorial tribute films and printed funeral Order of Service stationery — to communicate with you about your order, and to improve our website. We never sell or share your personal data with third parties for marketing purposes.
Who we share it with
We use a small number of trusted service providers ("sub-processors") purely to operate our service: Supabase (secure database and file storage), Resend (order emails), Cloudflare (website hosting), and — for printed Order of Service orders — our trade print partner, to whom we send only the finalised, print-ready artwork you have approved. Each processes your data on our behalf under their own data-protection terms.
Cookies, visit counting and advertising
Essential cookies keep the site working (your basket, your sign-in) and need no consent. Everything else waits for your answer to the cookie banner. If you accept, we count visits ourselves so we can see which pages help families and which do not; and if you arrived from one of our Google adverts, Google's conversion tag is loaded so that Google can tell whether that advert led to an order. The tag is configured with advertising personalisation switched off: it reports the sale and nothing more, and it is not used to build a profile of you or to show you adverts elsewhere. If you decline, none of this loads and nothing is sent. You can change your mind by clearing the site's cookies in your browser.
Google Customer Reviews
After you buy from our gift shop, and only if you accepted cookies, Google may ask on the confirmation page whether you would like to take part in a short survey about your purchase. If you say yes, your email address, order reference and expected delivery date are shared with Google so that it can email you the survey once your order has arrived. Your answers are handled by Google under the Google Privacy Policy, and may be shown as our seller rating on Google. If you say no, or ignore the question, nothing is shared.
Uploaded media & retention
Photographs, video clips and documents uploaded to our secure system are treated with the utmost confidentiality and are accessible only via private, expiring links. We retain your order and its files only for as long as needed to complete and deliver your project, plus a short archival period — after which completed and delivered orders, and all their files, are automatically and permanently deleted (currently after 90 days). You may request earlier deletion at any time.
Your rights
Under UK GDPR you have the right to access, correct or request deletion ("erasure") of your personal information. We can permanently erase an order and all associated files on request. Contact us at everlastingmemoriesvisuals@gmail.com for any privacy request.
If you are unhappy with how we have handled your personal information, you also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
